Alcoholic beverages are not permitted in the exhibit space at any time.
Participants shall comply with all federal, state and local laws, ordinances, and regulations now or hereafter in effect, and obtain all permits and licenses, bonds and insurance required and comply with any rules and regulations regarding use of the Facility established by the convention center director, as amended from time to time, and with the instructions of convention center director or their authorized employees.
This constitutes a contract for exhibit space, organization identification sign, and basic draping. Any additional items, including but not limited to furniture, electrical service, etc., are not provided and are the direct responsibility of the exhibitor. Applicants for exhibit space are required to forward to the Georgia PTA the formal Application and Agreement that is provided herein. Booth space is assigned on a first-come, first-serve basis and is limited to 100 booth spaces. Special consideration and prime placement is given to Georgia PTA Sponsors. Georgia PTA has the right to use its discretion at all times in the placement of exhibitors. Georgia PTA will make every attempt to fulfill requests but makes no guarantees, as booth assignment is largely dependent on the number of booths available when the exhibitor’s application is received and processed. Exhibitors are not permitted to occupy assigned space until all booth costs are paid in full.
All exhibitors must have their own booth space. Sharing of booth space is not permitted. Exhibitors may not assign or sublet any portion of their booth(s), nor may they display or advertise goods or services other than those provided by them in the regular course of their business. All distributed materials must be attached to the application and approved by the Georgia PTA CLT committee.
All demonstrations or other promotional activities must be confined to the limits of the exhibit booth. Any item(s) extending beyond the assigned space is subject to removal by Georgia PTA. The exhibitor shall not display or place any product, sign, partition, apparatus, shelving, or other construction which extends more than eight (8) feet above the floor or more than four (4) feet in depth from the back wall.
Displays not meeting these requirements must receive prior approval from Georgia PTA. No interference with the light or view of other exhibitors will be permitted. Use of amplified sound is not permitted without prior approval. Helium balloons are not permitted in the exhibit space without prior approval. The exhibitor choosing to use helium balloons accepts the responsibility and related charges should a balloon become lodged inside the exhibit hall. A fee of $400.00 is charged by Georgia PTA to remove balloons from the ceiling.
The price of each 10’x10’ standard booth and 10’x10’ corner booth includes back rail and side rail draping, 8’ table, 2 chairs, a wastebasket and an organization identification sign. Other furnishings and services are available at an additional cost from the show decorator. Exhibitors acknowledge that facility, show decorator work rules, and other procedures may result in additional fees being charged to exhibitor, and exhibitor agrees to pay such accounts.
Service kits will be available from the official decorator. Confirmations will be emailed directly to the contact listed on the application.
Georgia PTA shall be entitled to close an exhibit at any time for failure by any participant or any of their officers, agents, employees, or other representatives to perform, meet or observe any term or condition set forth herein, and such participation shall not be entitled to a refund of any part of any fee nor for any consequential losses.
Georgia PTA reserves the right to decline or prohibit any exhibit, which in its judgment is inappropriate. This reservation is all-inclusive as to persons, things, printed matter, products, and conduct.
Georgia PTA reserves the right to decline or prohibit any exhibitor who, in the sole and discretionary judgment of Georgia PTA, has not fulfilled any previous contractual obligations to unit, council, or district PTAs. This reservation is all-inclusive as to charges of company names and any attempt to subvert this prohibition. Exhibitors who cause or have caused Georgia PTA a financial burden or harass other exhibitors, delegates, Georgia PTA staff or volunteers, will not be permitted at this or any future CLT.
Georgia PTA reserves the right to restrict exhibits because of noise, method of operation, materials, or any reason, become objectionable, and also to prohibit or evict any exhibit, which in the discretion and judgment of Georgia PTA, may detract from the general character of the exhibit as a whole. This reservation includes persons, things, conduct, printed matter, or anything of a character that Georgia PTA determines is objectionable to the display. In the event of such restriction or eviction, Georgia PTA is not liable for any refunds or rental or other exhibit expenses or for any consequential losses. Sideshow tactics and lotteries are deemed inappropriate and are prohibited. Drawings may be held that do not involve an exchange of money. Order forms may be distributed for mail order purchases and products may be demonstrated from a booth.
Exhibitors must have a valid business license and have the number available upon request in the exhibit booth. If the exhibitor sells any item(s), it is the exhibitor’s responsibility to pay sales tax to the Georgia Department of Revenue, Sales & Use Tax Division.
It is also the responsibility of the exhibitor to have secured permission for the use of any copyright or trademark materials displayed or sold. The exhibitor must also provide the customer with a receipt of purchase.
Exhibitors may dispense product or food samples from their space. Product sample size is limited to 2 oz. or less. Items must not compete with the food and beverage concessions at the GICC. Proper paperwork must be on file with the GICC exclusive Catering Company, Proof of the Pudding prior to your arrival at the GICC. Samples must be compliant with the Georgia PTA “green” policy using compostable products. Exhibitors may pick up their badges at the Exhibitor Registration Booth within Exhibit Hall A&B at the GICC. Badges will be printed with staff and company name only. Exhibitors must pre-register staff on forms provided by Georgia PTA at the time of application.

Exhibitors may not dismantle displays until 3:00 pm Saturday, July 12, 2014. Exhibitors that dismantle displays prior to 3:00 pm,
July 12, 2014, will incur a penalty fee of $100.00 for each hour dismantled early. All exhibits must be removed from the exhibit hall by 7:00 pm on July 12, 2014 unless prior arrangements have been made with the GICC.
If, in the event of war, terrorism, fire, power outage, government regulations, public catastrophe, an act of God or public enemy or other cause, the CLT or any part thereof is prevented from being held, or canceled by Georgia PTA, Georgia PTA will determine and refund to the applicant its proportionate share of the balance and refund after deducting expenses incurred by Georgia PTA and reasonable compensation to Georgia PTA, but in no case shall the amount of refund to the applicant exceed the amount of the exhibit fee paid.
Exhibitors, or their agents, shall not injure or deface the walls, floors of the building, the booths, or the equipment of the booths. When such damage occurs, the exhibitor is liable to the owner for the property damaged.
The exhibitor assumes all responsibility for compliance with all city, state ordinances and regulations including those covering fire, safety and health. Flammable or other dangerous fluids, substances, materials, equipment, or other items, the use of which is in violation of city, county or state laws or regulations, may not be used in any booth. Fire extinguisher equipment shall not be covered or obstructed in any manner. All aisles and exits must be kept clear at all times.
Distribution of circulars or promotion materials may be made only within the booth assigned to the exhibitor presenting such materials. Non-exhibiting firms will not be permitted to canvas, solicit, hold conferences, nor distribute literature or other promotional devices during Convention Leadership Training.
Neither Georgia PTA nor the GICC, or any officer or staff member of either, will be responsible for the safety of the property of the exhibitors from theft, damage by fire, accident or other causes.
Exhibitors are advised to consult their insurance agent for proper coverage on display materials from the time it leaves the exhibitor’s property until its return. Neither Georgia PTA or the GICC management, nor any of their officers, agents, employees or their representatives, shall be held accountable or liable for, and the same are hereby released from accountability or liability for all damage, loss harm or injury to the person or any property of the exhibitor and of all of its officers, agents, employees or other representatives, resulting from theft, fire, water, accident or any other cause, and neither Georgia PTA nor the GICC will obtain insurance against any such damage, loss, harm or injury.
Exhibitors are required to provide evidence of Liability Insurance or an Indemnity and Waiver Agreement with their application and provide such evidence when acting as a vendor at any PTA function. Application and payment will be returned to the exhibitor if correct insurance is not submitted.
Exhibitors will receive two (2) food coupons per day for each reserved booth. Coupons good for provided lunch buffet only.

A refund will be made if a written cancellation is requested by June 15, 2014. Georgia PTA will refund the total amount which the exhibitor has paid to date less the sum of $100 per space, which will be retained as a cancellation charge. No refunds under any circumstances will be made after June 15, 2014.
Georgia PTA will send an electronic confirmation letter confirming your acceptance to exhibit. All space assignments, advertising, sponsorships and other items will be assigned on a first-come first served basis, unless otherwise noted. Booth assignments will be sent prior to the show opening.
Exhibitors have the opportunity to reach all attendees by placing one item such as a sample product, flyer, brochure, or product information, in convention tote bag received at registration. FREE offer to exhibitors registered by February 28, 2014. Additional charge applies March 1 – July 10. Brochure, flyer or general product information is limited to one page, front/back. A sample of your insert must be sent to Georgia PTA for approval by May 15. Once approved please mail minimum of 1,500 to Georgia PTA, 114 Baker Street, NE, Atlanta, GA 30308-3366 between June 1 and June 15.
